What the audit found that affects families?

Immunization records

  • Issue: Some kindergarten and 7th‑grade immunization records were missing or incomplete.

  • Action: Schools will follow up with families to collect required shots or medical exemptions. Please check and update your child’s records if needed.

    After‑school / Expanded Learning (ELOP)

  • Issue: A few ELOP registration forms lacked parent signatures; one TK/K combined class exceeded the required 10:1 staff-to-child ratio.

  • Action: District corrected staffing at the site, will require signed forms, and is stepping up oversight of after‑school programs.

    Transitional Kindergarten (TK) enrollment

  • Issue: One TK class that included an early‑enrolled student exceeded the permitted class size and adult‑to‑pupil ratio.

  • Action: Enrollment checks and monthly monitoring have been added to prevent repeats.

    Free/Reduced & English Learner documentation (LCFF counts)

  • Issue: Some students were missing supporting paperwork used for state funding counts (free/reduced lunch and English Learner status).

  • Action: The district will improve documentation procedures and reconcile reports sooner to fix errors.

    Payroll and internal controls (administrative)

  • Issue: Auditors found problems with year‑end payroll accounting and with how changes to direct‑deposit bank info were handled (a prior fraud incident was referenced).

  • Action: District is moving to a new K–12 payroll/accounting system, tightening approval controls, and planning an internal audit function. These are administrative fixes and don’t change student services.

What the district is doing overall?

  1. Improving record keeping and monitoring (immunizations, ELOP enrollment, student program documentation).

  2. Adding staff or reassigning staff where ratios need to be fixed.

  3. Upgrading accounting/payroll systems (ERP) and strengthening internal controls and audits.

What you can do?

  1. Check your child’s immunization and registration paperwork; return any missing forms.

  2. If your child is in ELOP/after‑school, confirm their enrollment form is signed and accurate.

  3. Contact your school if you receive a request for missing documentation or have questions.
